Checklist for Departing Employees

Employees will come and go in any organization, so it helps to have a clear employee exit checklist to ensure nothing slips through the cracks when someone leaves. Use this checklist to safeguard your data, maintain smooth operations, and create a secure offboarding process.

Inform Your IT Security Team
If the employee is leaving on bad terms, it’s better to be safe than sorry. Notify your IT team if you anticipate any issues so they can take appropriate precautions.

Revoke Access to Email
Immediately revoke access to all company email accounts associated with the departing employee. Once they’ve left, they should no longer be able to represent or communicate on behalf of the company.

Set Up Email Auto-Forwards and Replies
Ensure no important messages are missed by setting up auto-forwarding and/or out-of-office replies. For client communications, include the name and contact information of their new point of contact.

Revoke Access to All Systems
Update permissions and remove access to any internal systems or platforms the employee previously used by the end of their last day.

Collect All Company Devices
Retrieve all equipment issued to the employee, including laptops, mobile phones, ID badges, access cards, and USB drives.

Ensure the Transfer of Online Documents
Employees should store documents in shared company folders (e.g., OneDrive or Google Drive). Confirm all work-related files are transferred and delete any originals stored on personal devices.

Change Shared Passwords
Update passwords that were shared across teams or departments to prevent unauthorized access.

Change Company Card PINs
If the employee had access to company credit or debit cards, change all associated PINs.

Make It a Clean Break
Whether the departure is amicable or not, consistency is key. A thorough exit procedure protects your business and reduces the risk of potential security threats.
